Correct Care Solutions Administrative Assistant in Littlefield, Texas

Overview

Our Administrative Assistant performs highly confidential administrative support work which relieves the Facility Administrator and other Department Leaders of minor and routine business details; organizes office operations; and performs administrative support work requiring application of varied work methods and procedures. Work requires familiarity with policies, practices, and procedures of the facility.

Qualifications

Education:

  • High School diploma or equivalent required.

  • College level course preferable but not mandatory.

Experience:

  • Five (5) years of experience as a secretary or administrative assistant, two of which must have been in support of upper management in the private sector or private/public partnerships.

  • Must be proficient in Microsoft Word, Excel, Power Point and Outlook & Internet.

  • Ability to work with computers and the necessary software typically used by the department.

  • Ability to read and communicate in English.

  • High degree of empathetic listening, tact and kindness toward others.

  • The ability to communicate well verbally.

  • Excellent written and verbal communication.

Licenses/Certifications:

  • None required.

Responsibilities

  1. Maintains files, types correspondence and reports as needed and assures completion of required paperwork.

  2. Serves as a secretary and takes minutes for the Governing Council meetings and other meetings as assigned, keeps the records of such meetings.

  3. Handles a variety of mailings and distributions within the Facility as well as to the community.

  4. Keeps calendars and schedules of activities.

  5. Prepares and manages documentation and materials for Governing Board meetings.

  6. Collects, tracks, and ensures signing of timesheets of pertinent staff.

  7. Checks, prioritizes, and relays mail (both e-mail and hard copies).

  8. Performs other duties as assigned.

  9. Must be able to apply principles of critical thinking to a variety of practical and emergent situations and accurately follow standardized procedures that may call for deviations.

  10. Must be able to apply sound judgment beyond a specific set of instructions and apply knowledge to different factual situations.

  11. Must be alert at all times; pay close attention to details.

  12. Must be able to work under stress on a regular or continuous basis.

  13. Perform other duties as assigned.
