Overview

Our Scheduling Coordinator is responsible for the daily data entries of the Nursing Services master staff scheduling program, and daily workflow of the nursing office. Primary trainer for scheduling system education with nursing leadership. Performs administrative duties requiring application of varied work methods and procedures. Work requires familiarity and/or specific training in the master staff scheduling program and implementation within standard policies, procedures and practices within the hospital.

Qualifications

Education:

  • High school diploma or equivalent required, college level courses a plus

Experience:

  • Two (2) years of experience as a Nursing Scheduler in a health care setting or three (3) years of experience in progressive clerical or administrative support to a significant department within a company

  • Demonstrates accurate data entry of the nursing master scheduling program, utilizing advanced knowledge of computer software and hardware terminology

  • Demonstrates good organizational skills, requires daily maintenance of the 1:1 Forms & Missed Punch Forms

  • Must be able to exercise discretion, confidentiality, and judgment in challenging situations

  • Must be able to make decisions and resolve problems in scheduling activities

  • Must be able to work independently without direct supervision and carries out specific projects as assigned

Responsibilities

  1. Schedules all staff to meet the fluctuating needs of the hospital (sick/vacation coverage, additional staff requirements). Inputs the monthly schedules for each nursing unit into the master scheduling program. Maintains pertinent information on the master staffing schedule for downloading of related reports as needed.

  2. Inputs employee vacation and sick requests into the master scheduling program on a daily/weekly basis.

  3. Completes reports and tracking required for all scheduling functions and other tracking as requested (overtime, appointments, 1:1).

  4. Collects, tracks, and ensures signing of miss punch and timesheets of nursing staff.

  5. Checks and distributes communications to Unit Head Nurses (both e-mail and hardcopies).

  6. Provides information to per diem staff regarding scheduling and training.

  7. Conducts training with nursing staff on the nursing scheduling systems.

  8. Assists Unit Head Nurses with various HR related issues including employee benefits, vacancies, payroll issues, workers compensation, bereavement, jury duty, licensure expiration tracking, and sick and tardiness tracking. Addresses requests for time off, schedules, licensure tracking, Workers Compensations claims, timesheets, and payroll reports.

  9. Maintains current listing of staff/phone numbers, updated regularly in the nursing office.

  10. Collaborates with the Manager of Nursing Operations and completes payroll reconciliation accurately and timely.

  11. Must be able to apply principles of critical thinking to a variety of practical and emergent situations and accurately follow standardized procedures that may call for deviations.

  12. Must be able to apply sound judgment beyond a specific set of instructions and apply knowledge to different factual situations.

  13. Must be alert at all times; pay close attention to details.

  14. Must be able to work under stress on a regular or continuous basis.

  15. Perform other duties as assigned.
